Position Title: Executive Administrator

Mission:
The Manhattan Area Chamber of Commerce was established in 1988. The mission of the Manhattan Area Chamber of Commerce is to advance the general welfare and prosperity of its membership, and to help area businesses prosper. Emphasis will focus on building upon the strengths of the community, its rich heritage, its values, and helping enhance the economic, cultural, and educational interests in and for the area.
The Chamber depends solely on the participation of its members for both day-to-day operations and special events.
Executive Administrator General Responsibilities:
● Primary focus on Chamber of Commerce duties
● Maintain consistent office hours (5+hrs/week), The remaining hours will be spent interacting in/with the public, or working from home (10-15hrs/week, exceptions around major events)
● Memberships: Support existing members, renewals and encourage new memberships.
● Fundraising and resource development
● Coordinate and manage member events
● Assist in planning and executing community events (see secondary responsibilities)
● Create and Distribute Monthly Digital Newsletter
● Prepare for, attend, and conscientiously participate in board meetings:
Responsible for keeping and accurate written account of all meetings (minutes)
Meeting agenda are prepared in conjunction with the President
● Manage the daily operations:
Chamber memberships: Current, renewals and new members.
Manage and maintain social media sites (post information, updates, etc.)
Manage, maintain, and update website
Check chamber phone messages, chamber emails and post office mail box
Provide printed agenda copies and other materials needed for meetings (agenda items are provided by Board President and also reviewed with Executive Administrator prior to meetings)
Assist Treasurer with budget planning (to be approved by the Board of Directors) and provide bills, payment requests, income, receipts and financial research in a timely manner
● Maintain Confidentiality about all internal matters of the organization
● Follow the Chamber’s bylaws, policies, mission, and board resolutions
● Performs other responsibilities as assigned by the Board of Directors
Executive Administrator is subordinate to Board of Directors
Secondary Responsibilities – Main Chamber Sponsored Events:
● This is secondary to Chamber of Commerce duties. Board of Directors will spearhead major events (Annual Manhattan Classic Car Show & Farm Fun and Christmas Stroll)
Assist in executing these two Chamber Events (Annual Manhattan Classic Car Show & Farm Fun, Christmas Stroll). The Executive Administrator must NOT oversee or manage Manhattan Classic Car Show & Farm Fun, however may have more management with the Christmas Stroll as it involves local businesses/members.
● Requires organization, creativity, friendly and professional communications skills
May involve coordination and communication with vendors, County, Town of Manhattan, suppliers, businesses, etc.
Help coordinate event volunteers
● Work with Treasurer to create budgets for each event prior to event planning, budget to be approved by the Board of Directors
● Submit to the Treasurer payment requests, bills, and reimbursement requests in a timely manner
Expenses must gain approval from Treasurer, President and Vice President
● Performs other responsibilities as assigned by the Board of Directors
Event Planner is subordinate to Board of Directors
